3. Our legal basis for using it
- Legitimate interests: responding to an enquiry you made, preparing for your audit, keeping records of enquiries, and protecting this site from spam and abuse.
- Consent: for optional analytics cookies and for any marketing emails beyond your audit. You can withdraw consent at any time.
- Contract: if you go on to become a client, to provide the services we agree.
- Legal obligation: where we must keep records for tax or accounting purposes.
4. Who we share it with
We do not sell your personal data, and we do not share it for anyone else's marketing. We do use a small number of service providers who process data on our behalf:
- Hostinger: website and email hosting (privacy policy)
- Calendly: call scheduling, if you book a slot (privacy notice)
- Google Analytics: anonymised usage statistics, only if you accept analytics cookies
- Meta (Facebook/Instagram): advertising measurement, only if you accept analytics cookies
We may also disclose information where we are legally required to do so.
5. International transfers
Our operations team is based in Pakistan, and some of our providers are based in the United States. This means your information may be handled outside the UK. Where it is, we rely on the UK International Data Transfer Agreement, the UK Addendum to the EU Standard Contractual Clauses, or an equivalent safeguard, and we limit access to the staff who need it to serve you.
6. How long we keep it
- Enquiries that don't become clients: up to 24 months, then deleted.
- Client records: for the length of our engagement plus 6 years, to meet UK accounting and tax requirements.
- Server and security logs: up to 12 months.
7. How we protect it
This site is served over HTTPS. Enquiry records are stored outside the publicly accessible part of the server and access is restricted to the staff who handle enquiries. We review who has access periodically and remove it when someone no longer needs it.
8. Your rights
Under UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you;
- have inaccurate data corrected;
- ask us to delete your data ("right to be forgotten");
- object to, or ask us to restrict, how we use it;
- receive your data in a portable format;
- withdraw consent for analytics or marketing at any time.
To exercise any of these, email hello@ecomninja.co.uk. We will respond within one month. There is no charge.
9. Complaints
If you are unhappy with how we have handled your data, please tell us first so we can put it right. You also have the right to complain to the UK Information Commissioner's Office: ico.org.uk/make-a-complaint, or 0303 123 1113.
10. Cookies
See our Cookie Policy for what we set and how to change your choice.
11. Changes to this policy
If we change this policy we will update the date at the top of the page. Where the change is significant, we will say so on this page.
